Stichting Artsen in Nood, also operating under the name Doctors in Need, respects the privacy of website visitors, donors, contacts and other persons involved in our work. This privacy statement explains which personal data we process, why we process it, how long we keep it and which rights you have.

Stichting Artsen in Nood / Doctors in Need is registered with the Dutch Chamber of Commerce under number 98900765 and has RSIN 868693510. For privacy-related questions, you can contact us at info@doctorsinneed.org.Privacy questions are handled by the board or through the general email address. We have not appointed a Data Protection Officer.

  1. Scope of this privacy statement

This privacy statement applies to people who visit our website, send us a message through the contact form, make a donation, subscribe to our newsletter or otherwise contact Stichting Artsen in Nood / Doctors in Need.

This privacy statement concerns the public website and the processing of personal data of visitors, donors and contacts. Personal data of the doctors and medical professionals supported by the initiative is covered in a separate document.

  1. Personal data we process

When you use the contact form, we process your name, email address, subject and message.

When you donate through the donation form on our website, we process the data necessary to register and handle the donation. This may include your name, email address, selected amount, choice for a one-off or monthly donation, payment status, transaction details and your newsletter preference.

When you subscribe to the newsletter, we process your name, email address and, where applicable, information about your donation history and whether your donation is one-off or recurring. We use this information to manage our communication carefully.

When you transfer money directly to the bank account of Stichting Artsen in Nood, the payment record may show data related to the transaction, such as your name, account number, amount, date and payment description. We use these data only for administration, verification and legal obligations.

When you donate via WhyDonate, WhyDonate processes the data you enter on its platform. WhyDonate has its own privacy policy. Stichting Artsen in Nood / Doctors in Need only receives the data necessary to administer the donation and, where applicable, to communicate with you.

When you visit the website, technical data may be processed, such as IP address, browser data, device data, visited pages, date and time of visit and server logs. These data are used for security, website management and statistics.

  1. Why we process personal data

We process personal data to respond to contact requests, process donations, inform donors where they have consented to this, maintain our financial administration, comply with legal obligations, keep the website secure and functioning properly and understand how the website is used.

We do not sell personal data. We do not share personal data with parties that may use it for their own commercial purposes.

  1. Legal bases for processing

For responding to contact requests, we process data on the basis of our legitimate interest in answering questions and messages.

For processing donations, we process data because this is necessary to carry out the donation and for our administrative obligations.

For retaining financial data, we process data on the basis of legal obligations, including tax retention obligations.

For sending newsletters, we process data on the basis of consent. You will only receive newsletters or updates if you have signed up for them, for example by ticking the newsletter option in the donation form. You can withdraw your consent at any time.

For security, management and statistics, we process data on the basis of our legitimate interest in keeping our website reliable, secure and usable.

  1. Newsletter and donor communication

When you tick the newsletter option when making a donation, we store your name, email address, donation history and information about a possible recurring donation in Nextcloud Contacts. Processing into Nextcloud may take place automatically through n8n. Nextcloud and n8n are self-managed on a VPS hosted by TransIP.

We use these data to keep you informed about the work of Stichting Artsen in Nood / Doctors in Need. Donor data are not used for newsletters if you have not signed up for them.

You can unsubscribe from the newsletter. After unsubscribing, we will no longer use your data to send newsletters. Data that we must retain for administration or legal obligations may be kept for longer.

  1. Donations and payments

Donations through the donation form on our website are paid through Mollie. Mollie processes payment data necessary to execute the payment. Stichting Artsen in Nood / Doctors in Need receives from Mollie the data necessary to verify and administer the payment.

Donations may also be made through WhyDonate. In that case, you enter your data on the WhyDonate platform. WhyDonate processes these data according to its own privacy policy and terms. Stichting Artsen in Nood / Doctors in Need uses the data received via WhyDonate only for administration, donation follow-up and communication for which you have given consent.

For direct bank transfers, we process the data visible in our bank administration. These data are used only for administration, verification and legal obligations.

  1. Who we share personal data with

Within Stichting Artsen in Nood / Doctors in Need, only persons who need access for their role may access personal data. This may include board members, the treasurer and volunteers involved in fundraising, communication, administration or technical management.

We also use service providers that may process personal data for our website, email, hosting, donation processing, payment processing, administration or technical management. These include TransIP for hosting and email, Mollie for payments, WhyDonate for donations through the WhyDonate platform and the bank for direct transfers.

We only share personal data where this is necessary for the purpose for which the data were collected, where this is legally required or where you have given consent.

  1. Hosting, email and internal systems

The website and email are hosted by TransIP. Nextcloud and n8n are self-managed on a VPS hosted by TransIP. Contact form messages are received by email. When someone subscribes to the newsletter, the data may be processed via n8n into Nextcloud Contacts.

Where possible, we choose processing within the Netherlands or the European Economic Area. When external platforms such as WhyDonate, Mollie and social media are used, these parties may process data according to their own privacy policies and technical infrastructure.

  1. Cookies, Matomo and social media

We use Matomo to understand how our website is used. We aim to configure Matomo in a privacy-friendly way, with as little personal data as possible, IP anonymisation and without advertising profiles.

Our website may contain social media links or embedded content, for example from LinkedIn or other social media platforms. When you click on such content or use embedded content, these external parties may process personal data according to their own privacy policies.

When we use cookies or similar technologies that require consent, we will ask for consent in advance.

  1. Security

We take appropriate technical and organisational measures to protect personal data. We use SSL security, strong passwords, two-factor authentication and restricted access to systems. Only persons who need data for their work are granted access.

  1. Retention periods

Contact form messages are kept for a maximum of 2 years, unless longer retention is necessary because of the nature of the contact or an ongoing request.

Newsletter data are kept until you unsubscribe or withdraw your consent. After that, we will no longer use your data for newsletters.

Donation and financial administration are kept for 7 years where necessary to comply with tax and administrative obligations.

Matomo statistics are kept for a maximum of 26 months.

Server logs are kept for a maximum of 3 months, unless longer retention is necessary for security, investigation of misuse or legal obligations.

Data processed by Mollie and WhyDonate are retained by those parties according to their own retention periods and privacy policies.

  1. No sale of personal data

Stichting Artsen in Nood / Doctors in Need does not sell personal data. We do not share personal data with third parties for commercial purposes.

  1. Automated decision-making and profiling

We do not make decisions about individuals based solely on automated processing. We do not use donation data for commercial profiling. Donation data may be used for administration and, only with consent, to send relevant updates or newsletters.

  1. Your rights

You have the right to ask which personal data we process about you. You may also ask us to correct, delete or restrict your data. You may object to certain processing and you may withdraw your consent where processing is based on consent.
